Samples should be packed securely for their journey as they do not
always receive VIR* treatment. We know how valuable the samples are
and with many years experience of receiving samples we suggest the following.
Samples should be double bagged with both bags labelled and a numbered
tag included, all marked in permanent pen. If the samples are wet or
oily extra care must be taken to ensure labels will not rub off or dissolve
during transport (sealed plastic bags with a cloth outer bag is recommended
ideally with scribed aluminium tags included). A sturdy cardboard box
or a wooden box is appropriate with plenty of foam or paper packing
to ensure samples are not able to move around in the box. It is essential
that a sample list and copy of paper work be included inside the box.
You will need to fill in a sample shipment declaration form and include it with your shipment.
It must:
- be written in English
- be on your company letterhead.
- reference the sample shipment AWB or tracking number.
- contain description of the samples as clean rock samples - no soil and state their country of origin and whether they are surface samples and/or well samples. If they are well samples then you will need to include the depths of each sample or the depth range of the samples.
- contain the following information:
- Reason for sending to Geotrack - scientific analysis.
- Name of Sender
- Job Title of Sender
- Company Name
- Current date

We recommend using DHL or FEDEX for your rock shipment as they are
familiar with our samples and do their own customs clearing which expedites
the process of delivery. If you are using another carrier that does

On despatch please advise us by email AirWayBill# or Tracking # and
Carrier so we can track the samples and avoid any delays.
You will need to include a Commercial Invoice (Blanks available from
FEDEX or DHL or you can produce your own.) Paper work should include
a list of samples. Sample Commercial
Invoice (on your letterhead).
Please include on the invoice a nominal value for customs purposes
of approx $50 total value for the shipment and mark for ‘scientific
testing only’.ie. 25 samples of equal value: total value $50.00
The new system works much better if a value is quoted for the shipment
and will avoid delays. It is recommended that this nominal value is
kept at approximately $50 to avoid unnecessary import duties. Under
description of Goods, please mark for Well Samples: DEEP SUBSURFACE
ROCK SAMPLES ONLY - NO SOIL and for Outcrop Samples: ROCK
SAMPLES ONLY NO SOIL.
